Job Description
Job Title: Property Services Administrator To assist the team to deliver all services supporting the operation of buildings and surrounding landscaping on the estate. To provide all aspects of administration, routine correspondence, filing and support to the CPEM team. Key Tasks: 1.To carry out all aspects of administration, routine correspondence, filing and support to the CPEM team. 2.To ensure that filing systems and company literature*documentation is kept in an orderly manner and is compliant with the Broadgate Estates Operational standards. 3.Use Microsoft Word and Excel to provide all aspects of typing support, including routine correspondence, producing minutes from meetings and notes from building and estate inspections. 3.Answering telephones, vetting calls and where possible responding to incoming queries. 4.To support the Assistant Property Services Manager with operating and maintaining the computerised help desk facility, updating records and running reports on the Concept SQL 500 Pre-Planned Maintenance system. 5.Assist the management team with the input of purchase orders and invoices to central tracking systems for each building and the estate. 6.To schedule meetings, manage the co-ordination of diaries and prepare meeting rooms facilities. 7.To monitor and maintain permit to work*access systems, holiday*sickness records, acknowledgements of House Rules and Regulations and Broadgate Estates manual updates and amendments. 8.To maintain the file of Standard Operating Procedures relevant to Chiswick Park, ensuring updates and amendments are distributed to the on site team. .Support the CPEM team with
